Privacy Policy
Plainly: what your assistant reads, what it sends, and who else touches the data.
Who we are
Brickline AI makes AI assistant software for real estate agents. It’s run by Miles Weber, doing business as Brickline, a sole proprietorship in Chicago, Illinois (“we”). We are not a brokerage, and we don’t list, lease, manage or develop property. In this policy, “you” means the agent who uses Brickline AI, and “leads” means the people who write to you.
Your leads’ data is yours
You decide whose messages your assistant handles and why, so you are in control of your leads’ information. We process it on your behalf, only to run your assistant, and only as you instruct. You’re responsible for having the right to contact your leads and for any consent the law requires.
What the assistant reads
Once you connect your Gmail account, your assistant reads new emails sent to the lead address or label you choose with us (for example, yourname+leads@gmail.com). For other messages, it checks only the recipient details to confirm they’re out of scope, then ignores them. It doesn’t store them or log their sender, subject or content.
We ask Google for two permissions: read your email (gmail.readonly), which can’t change or delete anything, and send email on your behalf (gmail.send). Google’s read permission covers your whole mailbox, so the limit to your lead address is enforced in our software. We don’t access your Google Calendar, contacts or files.
What it sends
Replies go out through your Gmail, from your address, signed by your named assistant with your brokerage name. Each email goes to one person: the lead who wrote in, or you.
Nothing sends on its own until you’ve approved your assistant’s reply rules and templates. After that, a first reply to a new lead sends automatically only when every sentence is a greeting, a question about what they need, your booking link, a note that you’ll follow up, or a fact from your approved profile or official public data. Anything about listing details, offers, pricing or what a neighborhood is like waits for your OK, and so does every follow-up.
Brickline AI doesn’t send text messages.
What we store
- Lead messages and their details: sender, subject, time and message text for emails in scope.
- Drafts, replies and approvals: what the assistant wrote, what you changed, and what was sent, held or discarded.
- Contacts and opt-outs: lead email addresses, and a list of people who asked not to be emailed.
- Your setup: your name, brokerage, profile facts, listings you give us, and reply rules.
- Your Google connection: the access token Google issues to us, so the assistant can keep working.
- Logs: records of what the assistant did and when, used to run and fix the service.
Brickline AI doesn’t connect to MRED or any other MLS, and doesn’t pull or display MLS listing data. Listing facts come only from what you give us or approve. If you put MLS information into a reply, your MLS’s rules on using it still apply to you.
We don’t sell personal information, and we don’t use it for advertising.
Who processes it
- CheaperInference (run by Keak AI, Inc.), our AI provider, receives the text the assistant needs, such as the lead’s message and your profile facts, to write and check drafts. The models are GLM 5.3 Flash, made by Z.ai, which writes drafts, and DeepSeek V4.1 Flash, made by DeepSeek, which checks them. CheaperInference passes each request to an upstream company that runs the model. It says it doesn’t store prompt or reply text in its records or use it to train its models. It doesn’t yet name every upstream company or say where they operate, and those companies may process or keep the text under their own terms. See CheaperInference’s privacy policy (opens in a new tab).
- Google processes your email as your Gmail provider.
- DigitalOcean hosts the server that runs your assistant and stores the data above, in its New York (US) data center.
- Vercel hosts this website and your dashboard, and passes dashboard requests to our server.
- US Census Bureau and City of Chicago open data: to add public school and transit facts, the assistant may send a property address, never a lead’s name or email, to the Census Bureau’s public geocoder, then match it against City of Chicago public datasets.
- FormSubmit forwards messages from our contact form to our email.
Support for Microsoft Outlook and Microsoft 365 is coming soon. It isn’t available yet, and this policy will be updated before it is. Otherwise, we share data only with your permission, or when the law requires it.
Google user data
Brickline AI’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy (opens in a new tab), including the Limited Use requirements. In particular:
- We use Gmail data only to provide your assistant’s features: reading your lead emails, writing and checking replies, sending what’s allowed, and showing it in your dashboard.
- We transfer it only to the providers listed above, as needed to run those features, for security, or to comply with the law.
- We never sell it, and never use it for advertising, including retargeting or personalized ads.
- No person reads it unless you ask us to (for example, to fix a problem), it’s needed for security or to investigate abuse, or the law requires it.
- We don’t use it to develop, improve or train generalized AI or machine-learning models.
You can remove our access at any time in your Google Account settings (opens in a new tab).
Opt-outs and AI
Drafts and replies are written by AI. Your assistant writes as your named assistant, and says it’s AI if a lead asks. When a lead replies “stop”, “unsubscribe” or “opt out”, or the Spanish “baja”, “alto”, “parar” or “basta”, they’re added to an opt-out list, and the assistant sends them no more emails. If they write again, it shows you their message instead of replying. A lead who wants their information removed can ask you or email us, and we’ll act on it with you.
This website and dashboard
The contact form sends your name, email and any optional details to us through FormSubmit, so we can reply. This site has no ads or tracking cookies. It saves one small note in your browser so the opening animation plays only once. Our host may keep standard server logs.
We use Vercel Web Analytics to see which pages are visited. It doesn’t use cookies. For each page view it records the page address, the referring site, your approximate location (country, region and city), and your browser, operating system and device type. It tells visits apart using a hash of the request that is discarded after 24 hours, not a name, account or stored identifier, and we see only aggregated counts. See Vercel’s Web Analytics privacy notes.
To sign in to your dashboard, you get a single-use link by email, sent through your connected Gmail. It expires after 15 minutes. Signing in sets one cookie that keeps you signed in for 7 days.
How long we keep data
- Lead messages, drafts, replies and approvals: up to 12 months, then deleted.
- Logs: up to 90 days.
- Opt-out list: for as long as we run your assistant, so no one who opted out is emailed again.
- Contact-form messages: in our email for as long as we’re in touch, and up to 12 months after.
If you stop using Brickline AI, we turn off your assistant, remove its Google access, and delete your data, including backups, within 30 days. You can ask for a copy first. If you ask us to delete data at any other time, we’ll do it within 30 days and confirm by email.
How we protect it
- All connections use HTTPS encryption, between our server, Google, our AI provider and your dashboard.
- The server accepts administrator sign-in only with an SSH key, never a password, its firewall opens only the ports it needs, and security updates install automatically.
- Google tokens and API keys are stored in files that only the assistant’s service account can read.
- The assistant can only email the person who wrote in, or you, one recipient per email.
- Dashboard sign-in links are single-use and short-lived.
No system is perfectly secure. If a breach affects your information, we’ll tell you promptly and as the law requires.
Your choices and rights
Wherever you live, including California and Illinois, you can ask what information we hold about you, and ask us to correct it, delete it or send you a copy. We won’t treat you differently for asking. If you’re a lead, we’ll work with the agent you contacted, since they control that information. We don’t sell or share personal information for targeted advertising, and we don’t collect biometric information.
Brickline AI is for real estate professionals. It isn’t directed at children under 16, and we don’t knowingly collect their information. If you think we have, email us and we’ll delete it.
